Terms and Conditions of Hire for St Herbert's Parish Centre                        29/9/2020                                      
St. Herbert’s Parish Centre is available for hire to individuals and organizations for various types of functions and meetings. The Centre is normally available for hire on Friday evenings, Saturday’s and Sunday afternoon\evenings or at other times by arrangement and subject to availability. 
St. Herbert’s Parish Centre reserves the right to decline any offer for the hire of our facilities without providing a reason for such refusal.
These terms and conditions along with a completed booking form signed by you will form a legally binding contract, once a receipt for the hire fee is attached.  
The law governing this agreement w
ill be English Law. 
Due to the large numbers of enquiries we receive to hire the parish centre we do not take provisional booking, we will make a note of any enquiry. 
However when several people have enquired about the same date, the parish centre will be hired to the first person who comes into the par
ish centre and completes the hire forms and pays the hire fee
St. Herbert’s Parish Centre only provides the main Hall, kitchen facilities and a staffed bar for any function, the use of any other adjoining room or equipment will be at the discretion of the Duty Manager. 
Audio Visual equipment and Round Tables are available for hire please discuss your requirements with the Parish Centre manager. 
If security staff, are required they can be provided at an additional cost.
For all bookings which are chargeable by the hour a minimum charge of 3 hours will apply.
All catering, entertainment and room decoration is the sole responsibility of the hirer to provide and arrange. 
While the staff of St. Herbert’s Parish Centre will try to assist, you or your chosen companies are responsible for the clearing of food from tables and the rearranging of table decorations and furniture during all functions. 
We respectfully point out that the Parish Centre is in daily use and especially at weekends. You are required to ensure that all decorations are removed at the end of your function, this is to allow for cleaning and for people setting up for their function.
The use of the kitchen facilities is for the final preparation, cooking, or re-heating of food only within the times hired. The full preparation of meals is not normally allowed. 
While all equipment is maintained and serviced regularly we accept no liability in the event of any the equipment failing which results in the non -production of meals by your caterer.        
All kitchen facilities and equipment (stoves, fridges and all other equipment etc.) provided and used MUST be left in a clean condition, we reserve the right to levy additional charges to cover the costs of any cleaning required.
It is the responsibility of the Client to ensure that any person they employ to provide a service for them complies with all relevant Legislation related to that activity. 
You are advised to check that your chosen suppliers also have adequate Public Liability Insurance cover.
All rubbish should be placed in the external refuse bins provided.
Cardboard boxes should be placed in our recycling bin, in order to comply with Landfill Legislation.
We shall endeavour to provide access between 11.00am and 1.00pm (11.30 on Sunday’s) on the day of your function, for you to decorate the room if you wish too, however this may not always be possible dependant upon the usage of the hall. These arrangements can only be confirmed 7 days prior to the event.
 In order to preserve the condition of the decoration within the premises, any decorations you provide should not be attached to the wallpaper or the exposed brickwork. 
Please do not use drawing pins, sellotape  or staples when fixing decorations to other surfaces. 
Please note: You are NOT ALLOWED to bring any Alcoholic or non-alcoholic drinks of any description to any function held on these premises. All drinks must be purchased from St. Herbert's Parish Centre.
1. Payments
All payments can be made by cash, card or cheque.
Cheques should be made payable to “SDC Trading Ltd, St. Herbert Chadderton” and presented with sufficient time to clear prior to your event.
We regret we do not have the facilities to process credit\debit cards over the telephone. 
For Corporate clients BACS details can be supplied upon request.

2. Deposits and Charges
2.1 The full hire fee is required upon booking the Parish Centre.
2.2 Please note that a refundable deposit of £ 100.00 may be required for 21st Party bookings.
2.3 Please enquire with a member of the staff for the current charges to hire the room for an event.
2.4 Any surplus \ shortfall from deposits held for wine or drinks from the bar will be refunded\charged on the day of your event when the exact cost has been calculated. (7.1)
2.5 All hire fees paid will be non-refundable in the event of cancellation or curtailment of the event by the hirer. 
2.6 Corporate clients may cancel up to 48 hours in advance by telephone or email without incurring charges. 
2.7 Corporate clients who do not attend for a booked session will be charged the full hire fee for the hours booked.
2.8 In the event that a booked session finishes early we shall charge full the full session in order to meet or staff contractual obligations.

3. Cancellations
3.1 In the event that you need to cancel your function any such cancellation must be confirmed in writing to the Parish Centre Manager as soon as possible. 
3.2 St. Herbert’s Parish Centre reserves the right to cancel any booking (without notice or reason if, in its reasonable opinion, it is necessary) in the following circumstances:
If the Parish Centre’s performance of it’s obligations under these terms and conditions is prevented by acts, events, omissions or accidents beyond the reasonable control of the Parish Centre Committee or its employees; or 
If the event or any part of it may be prejudice to the reputation or embarrassment of St. Herbert’s Centre or St. Herbert’s Catholic Church; or
the true nature of the function has not been fully disclosed at the time of booking; or Any other reason as deemed necessary by the Parish Centre Committee.  I.e.( A booking for a family party which is for 18th birthday party) 
3.3 St Herbert’s Parish Centre reserves the right to seek compensation from the client for loss of earnings if it is deemed appropriate due to cancellation.
3.4 In the event that St. Herbert’s Parish Centre feels that it is necessary to cancel a booking for any reason, we shall not be held liable to pay any form of compensation, other than to refund any monies already paid by the client and held on deposit by us.

4. Health and Safety.
4.1 The Client is responsible for maintaining order at all times, and ensuring that all persons attending any function observe fire, health and safety, security, smoking regulations and Licensing Laws which cover the Parish Centre.
4.2 Any person suffering an accident on the premises or being involved in a reportable incident must report it to the Manager at the time and complete an entry in the Accident Book.
4.3 To comply with relevant Legislation and for the comfort of your guests an adequate level of lighting must be maintained during the function.
4.4 To comply with Fire Regulations and to avoid false alarms from our fire alarm system candles, open flames or pyrotechnic devices are not permitted on these premises. The exception being solid fuels used for heating chaffing dishes, which must be under the constant supervision of catering staff..  

5. INDEMNITY
5.1 The client agrees to indemnify St. Herbert’s Parish Centre for all losses, damages, claims costs and expenses incurred or suffered by St. Herbert’s Parish Centre arising out of or in connection with the client’s use of these premises pursuant to these terms and conditions.
5.2 This indemnity covers, by way of example only, any damage (which for these purposes may be defined to mean “beyond fair wear and tear”) or disrepair to fixtures and fittings and any security costs incurred due to disruption, vandalism or unrest at the client’s event.
5.3 It is the client’s responsibility to ensure that anyone contracted to provide a service for them is informed, that any equipment brought on to these premises and used by them is tested and safe for its purpose. Any such equipment is used entirely at their own risk, and St Herbert’s Parish Centre accepts no liability what so ever that may arise out of its use on these premises.
5.4 The client agrees to indemnify St. Herbert’s Parish Centre for all losses, damages, claims costs and expenses incurred or suffered by St. Herbert’s Parish Centre arising out of or in connection with the clients contracted supplier’s equipment causing any damage to the property, fixtures, fittings or overloading, to the electrical wiring due to the equipment being faulty or improperly used.


6. CHILDREN 
6.1 For obvious safety reasons you are requested to ensure that children do not leave the premises alone,
       or to let children play in the car park.
6.2 Please Note It is a condition of our alcohol license that all children under the age of 16 should leave the premises by 10.30 pm.

7. GENERAL
7.1 Due to limited storage space, we do not carry an extensive stock of wines or champagne for functions in our cellar. Our suppliers can supply a wide range of wine etc. from around the world at reasonable prices. We request that you discuss, order and pay for any drinks you require for your function, at least 14 days before your event in order that we may obtain them for you from our suppliers.  
7.2  Under normal circumstances for all functions, the bar will be open from your arrival until 11.30pm. 
7.3 At all functions, last orders will be called 15 minutes before the bar closes. However, the Management has the right to close the bar earlier without reason, if it is deemed necessary to prevent disorder and comply with all relevant Legislation covering the premises.
7.4 All entertainment is to be concluded by 11.45pm or 30 minutes after the bar closes for all functions held during the day.
7.5 The client will be held responsible for any damage, how so ever caused to the premises or its fittings and any such damage found should be reported immediately to the Manager.
7.6 As the Parish Centre is designated as a food premises we can only allow recognized assistance dogs on the premises and no other animals what so ever.
7.7 Any disputes or circumstances not covered by the above must be referred to The Manager for reference to the committee.

8.0
For the avoidance of doubt, St. Herbert’s Parish Church and the Parish Centre shall not be liable for any loss or damage to personal property, vehicles or their contents, belonging to clients, suppliers or guests who are attending functions at these premises. Car parking is entirely at the owner's risk in St Herbert’s Church\Parish Centre car park. For your information, there is additional public car parking space on the opposite side of Broadway; coaches are requested to use this area for parking.

9.0
All our clients should be aware that we operate a "Challenge 21" scheme for service at the bar (posters to this effect are displayed on the premises). Our staff may challenge any customer who they think looks under 21 years of age. We request that you inform your guests of this policy and request them to carry photo I.D.
